Employee Directory
IET provides an Employee Directory service which is accessible from within the desktop email client and from the web. The information provided includes name, department, phone local and voicemail, and email address (and room number in the desktop client). The look-up will search on any of those information fields except email. For example, a user can enter “English” and find all Faculty and Staff with “English” in their job title.
The information in the Employee Directory is extracted from the Human Resources Employee database. If the information is incorrect in the search results the official information in the employee record may be out-of-date. The IET service desk can confirm if the information in the HR record is correct. If it is correct, IET will update the Employee Directory. If the official record is wrong, the user will be directed to the Deans’ assistants or to HR to have that record corrected.
Eligibility
This service available to all users of the Kwantlen website and to Kwantlen employees who are authenticated to their desktop email client.
IET Responsibilities
- Provide (where necessary) suitable documentation.
- Ensure that the process which populates the Employee Directory database with information from the HR database runs when changes are made.
- Manually trigger updates when errors are discovered.
- Ensure the look-up tool is working on Kwantlen websites where it is made available.
- Refer client to the Deans’ assistants or HR when the HR record is found to be wrong.
- Record related inquiries and assign each a unique tracking number.
- Assign all inquiries a service priority.
